ACApp ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how your personal information is collected, used, and disclosed by ACApp.
2. Information We Collect
We collect information that you provide directly to us:
Account Information: Your email address and basic profile info (name and profile photo) provided by Google if you sign in with Google.
Communication Data: Your email address is used to send automated reminders, service updates, and support responses. Reminder timing depends on the feature and options you select in the app. Reminders due on the same day are sent together in one daily email.
App Data: Contract titles, amounts, renewal dates, Smart Logs entries, reminder preferences, selected language, the currency of each contract, subscription status (plan, renewal or end date), and related account settings that you manually enter or confirm.
Device Data: If you turn on notifications, we store a Web Push subscription for that browser or device (a push service address and encryption keys) and the browser type, so we can send you reminders. You can turn notifications off at any time in Profile → "Notifications"; signing out also removes the subscription from that device.
Contact Messages: If you write to us via "Contact Us", we store your name, email address and message so we can reply to you.
Data Stored in Your Browser: Your login session, language and app settings are kept in your browser’s local storage, and photos you choose to save are kept in your browser’s local database. We do not use advertising or tracking cookies.
2.1 Image Data and Text Recognition (Smart Scan)
When you use Smart Scan, the photo is reduced in size in your browser and sent securely to our server function, which uses Google Cloud Vision to recognise the text. The recognised text is returned to the app; we do not store the photo on our servers. When you scan from the Hub, you choose whether the extracted information should be saved as a Contract or as a Smart Log. If you choose to save a photo, it is stored locally in your browser on your device in ACApp's local gallery. The save-photo option is off by default. Clearing your browser data or removing the ACApp Home Screen app permanently deletes locally stored photos, and ACApp cannot recover them.
3. How ACApp Use Data
Your data is used solely to provide ACApp services: calculating monthly commitments, managing contracts, tracking Smart Logs, managing your local gallery, managing your subscription, and sending automated reminders by email and push notification based on your selected reminder settings. ACApp does not sell or rent your information to advertisers, nor do we use your data for marketing purposes without your explicit consent.
4. Third-Party Services
To provide our services, we work with the following trusted providers:
Supabase: For secure database storage and authentication, and automated scheduling (Edge Functions/Cron Jobs).
Paddle: Our reseller and Merchant of Record. Paddle processes payments and subscriptions, taxes and invoices. We receive your subscription status, but we never see or store your card details.
Resend: To deliver automated email reminders and important service notifications to your inbox.
Browser push services (e.g. Google, Apple, Microsoft, Mozilla): To deliver push notifications to your browser or device. Notification content is encrypted end-to-end.
Google Cloud Vision: To recognise text in photos you scan with Smart Scan.
Sentry: To detect and fix app errors. Error reports include technical information and your anonymous user ID, but not your email address.
Cloudflare and Netlify: Cloudflare hosts the ACApp web app (app.acapp.uk); Netlify hosts our website (acapp.uk).
5. Data Security & Retention (UK & GDPR)
We use industry-standard security measures provided by Supabase to protect your data, which is stored on servers in the European Union (Ireland). Data is encrypted in transit and at rest. Your data is stored as long as your account is active.
6. Your Rights
Account Deletion: You have the right to access, correct, or delete your server-side account data by using the Delete Account function in the app. This deletes your profile, email address, contracts, Smart Logs and notification subscriptions from our servers, and automatically cancels any active ACApp Pro subscription. Local data: Clearing your browser data or removing the ACApp Home Screen app deletes locally stored photos and gallery data. Under GDPR/UK GDPR, you have the right to data portability and to object to processing.
7. Security
ACApp implements technical measures to protect your data, but please remember that no method of transmission over the internet is 100% secure.
